Policies
Cancellation and Rescheduling Policy
Everly Era Photography LLC reserves a session date and time specifically for each client. By booking a session, the client agrees to the following cancellation and rescheduling terms.
Client Cancellations
When a client cancels a session for any reason, the booking retainer is not refunded because Everly Era Photography LLC has reserved the date, declined other potential work and performed administrative preparation for the session.
Client Rescheduling
A client may request one complimentary reschedule by providing at least 72 hours’ notice. The retainer will transfer once to a new mutually available date scheduled within 60 days of the original session.
A second rescheduling request, or a request made less than 72 hours before the session, may require a new retainer.
Exceptions may be considered for documented emergencies, contagious illness, hospitalization, bereavement or dangerous travel conditions. Approval remains at the reasonable discretion of Everly Era Photography LLC.
Late Arrival
The session begins at the scheduled time. A client arriving late may receive a shortened session so that the Photographer can honor other commitments.
Arriving more than 20 minutes late without contacting the Photographer may be treated as a no-show. The Photographer is not required to extend the session, provide additional images or reduce the package price because of client lateness.
Weather
For outdoor sessions, Everly Era Photography LLC will determine whether weather, lightning, severe heat, unsafe conditions or poor lighting reasonably require rescheduling.
The Photographer may wait until the day of the session to make the final weather decision because Florida weather can change quickly.
When the Photographer reschedules because of weather or unsafe conditions, the client’s retainer and payments will transfer to a mutually available replacement date. The client will not be charged a rescheduling fee.
Clouds, wind, humidity, temperature preferences or a chance of rain do not automatically require rescheduling when the Photographer determines that the session can safely and reasonably proceed.
Photographer Cancellation or Emergency
If Everly Era Photography LLC cannot perform the session because of illness, emergency, equipment failure or another circumstance within the Photographer’s responsibility, the client may choose:
- A mutually agreed replacement date; or
- A refund of all amounts paid for services not performed.
The refund will be the client’s sole financial remedy for a session the Photographer cannot perform, except where applicable law requires otherwise.
Location Fees and Third-Party Costs
Permit fees, studio rentals, admission charges, parking fees and other nonrefundable third-party costs purchased for the client are separate from the session retainer. The client remains responsible for those costs when a cancellation or rescheduling makes them nonrefundable.
